Event profit calculator

Find out what you really keep from an event — after materials, labour, subcontractors, travel, tax and card fees — and the price and deposit that protect your margin.

Works for decorators, florists, photographers, photo booths, rentals, planners and caterers. Example: a mid-size wedding job.

How we calculate this

Profit on the price before tax

  1. Price before tax = your price, or price ÷ (1 + tax rate) if you quote including tax. Client pays = price before tax × (1 + tax rate).
  2. Fees = card or platform fee % × what the client pays (fees are charged on the full amount, tax included).
  3. Profit = price before tax − (materials + labour + subcontractors & rentals + travel + other + fees).
  4. Margin = profit ÷ price before tax. Markup = profit ÷ total cost.
  5. Break-even = costs ÷ (1 − fee % × (1 + tax rate)). Price for a target margin = costs ÷ (1 − margin − fee % × (1 + tax rate)).
  6. Deposit = deposit % × what the client pays. We also show the smallest deposit (in 5% steps) that covers your upfront spend — materials, subcontractors and other costs — before tax.

Tax rates are pre-filled with a common standard rate for the currency you pick (for example 20% VAT for pounds and euros, 18% GST for rupees) — set your own rate, or 0 if you are not registered. Pricing a balloon job? The balloon pricing calculator builds the cost up balloon by balloon. Sending quotes every week? See how Sarvyam’s event quotation software does this on every quote.

Questions, answered

How do I calculate the profit on an event?

Take the price before tax, then subtract every cost of that event: materials, labour (including your own time), subcontractors and rentals, travel, other costs and the card or platform fees on what the client pays. What is left is your profit. Divide it by the price before tax for your margin.

What is a good profit margin for an event business?

It depends on the trade and how much of the work you do yourself. Material-heavy services such as balloons and decor often aim for 50–65% after paying for time; service-heavy work with subcontractors usually runs lower. The important thing is that your own time is a cost — a margin that only exists because you work for free is not a margin.

Should I include tax in my price?

Tax you collect (VAT, GST or sales tax) is not income — you pass it on. This calculator always works out profit on the price before tax. Choose “including tax” if you quote consumers tax-inclusive prices, and it removes the tax first.

What is a break-even price?

The price at which you neither make nor lose money on the event: it covers every cost, including card fees on the amount the client pays. Never quote below it, and treat anything close to it as a favour, not a job.

How much deposit should I ask for?

Many event businesses take 25–50% to confirm a date, with the balance due a set number of days before the event. A useful rule: the deposit should at least cover what you spend upfront — materials, rentals and subcontractors — so you never fund a client’s event with your own money. The calculator tells you the percentage that does.

Do card fees really matter?

Yes. A 3% fee on the full amount the client pays — including tax — can be a tenth or more of your profit on a tight job. Include it in your costs, or price it in.
